New Computer System Allows Improved Service

The implementation of the business tax component of our new Tax Information Management System (ITIMS) that I wrote about last month is now in full swing.
For several weeks as new information is gradually introduced and staff actually start using the new system, there will be some shortterm inconveniences. In the long run, however, this new system will bring with it better customer service.
Both your income tax and business tax records are accessible by your social security number or federal employers identification number, so you only need to provide that one number. We can also access your records in other ways such as by using your new Hawaii Tax ID Number or your old license number.
With all your information in one place, questions about your various tax accounts can be quickly addressed, and applications for tax clearance easier and faster to process.
If you have a balance due for business taxes but are entitled to a state income tax refund, or vice versa, the system will automatically offset your balance due with the refund. In the past, it was often faster to write us a check for the amount owed because it was so difficult to manually apply the refund from one tax to the balance owed for another.
Neighbor island taxpayers can now send their tax documents directly to Oahu. Previously, you sent them to your district tax office, which sent the forms via a courier service to Oahu. Oahu batched and processed the documents by tax district, and then sent everything back for storage.
This was inefficient, costly, and resulted in processing delays, but no more. The new system can now track tax data by district without separately batching and processing documents by tax district.
Changes of this magnitude are never easy, and it will take a while for staff to get used to the new software. Do you remember the last time you used a completely new computer program? If so, you'll appreciate what our staff is experiencing. Our goal is to provide great customer service, and we'll get there with your kokua.
